PDF to Excel Online
Recover table-like data from a text-based PDF into an Excel workbook. The converter uses the coordinates of PDF text to infer rows and columns, with controls for page ranges and worksheet layout.

The table mode groups text by baseline and horizontal position.
Keep unrelated tables isolated on separate worksheets for easier review.
Displayed characters such as commas, periods, £, €, $ and dates are extracted as text instead of being silently reinterpreted.
A PDF Table Is Not an Excel Table
What looks like a neat grid in a PDF may be stored as dozens or thousands of independently positioned text fragments. The PDF format can draw borders and place words at coordinates without recording that “Revenue” belongs in column C or that a number belongs in row 18. PDF to Excel therefore has to infer structure from geometry. SonoFiles makes that inference visible in its scope: the result is a starting workbook for analysis and cleanup, not a promise to recover an unavailable original spreadsheet.
How Table Mode Detects Rows and Columns
The extractor reads the PDF text layer and groups items with similar vertical positions into rows. It then clusters recurring horizontal start positions into probable columns. This often works well for statements, reports, schedules, inventories and research tables produced directly from software. It is less reliable when every line uses different indentation, cells span several columns, values wrap onto extra lines or the PDF is a scan.
When “One Line per Cell” Is Better
Some PDFs contain structured lists rather than true columns. In those cases aggressive column inference can create a workbook with many sparse columns. The reading-line mode instead puts each detected PDF line in a single cell. That can be a cleaner intermediate format for addresses, logs, catalogues or content that you plan to parse later with Excel formulas, Power Query or another data-cleaning workflow.
Separate Worksheets Versus One Combined Sheet
With one worksheet per PDF page, page boundaries stay obvious and independently formatted tables do not collide. This is usually safer for multi-page statements where headers repeat. The combined option appends page markers and the detected rows into one sheet, which is convenient when the source uses the same columns continuously across pages. Combining does not automatically remove repeated headers because the tool cannot safely assume that identical-looking text has the same semantic role on every page.
Numbers, Dates and Regional Formats Are Preserved as Seen
A value such as 1,234.56 can mean something different from 1.234,56, and a date such as 04/05 is ambiguous between common US and European conventions. The converter therefore writes extracted PDF values as displayed text rather than guessing locale and changing them. The same applies to dollar, pound and euro symbols. After export, you can deliberately convert columns to numbers or dates using the locale rules appropriate to your workbook.
Scanned Statements Need OCR Before Table Extraction
If the PDF page is only an image, there are no text coordinates to cluster. OCR can add recognized text, but OCR itself can misread digits, decimal marks and column labels. For financial or compliance data, treat OCR-derived spreadsheets as provisional: reconcile totals, sample values from each column and compare important identifiers with the visible source document.
Repeated Headers and Footers Can Look Like Table Rows
Multi-page reports often repeat a company name, column heading, page number or confidentiality footer on every page. PDF coordinates do not label those elements as “page furniture,” so the extractor can include them in the workbook. Keeping pages on separate worksheets makes those repeats easier to spot before combining data. If the same header appears every page, remove it deliberately after checking that a real data row was not mistaken for the same pattern.
Practical Validation Before Using the Workbook
- Compare the first, middle and last exported rows with the PDF.
- Check negative numbers, brackets, decimal separators and currency symbols.
- Look for wrapped cells that became a second row.
- Verify that repeated page headers were not mistaken for data.
- Confirm that a visually merged label did not create a shifted column.
- Keep the source PDF with the workbook when auditability matters.
Privacy for Business and Financial PDFs
The PDF is read in the browser and the workbook is generated there. SonoFiles does not need a document-conversion server for this extraction workflow. JavaScript libraries used by the page may be loaded from configured CDNs, but selected file contents are not intentionally uploaded as part of conversion. That local approach is useful for statements and internal reports, but you should still apply your organisation’s own handling policy for regulated documents.
PDF to Excel FAQ
Will formulas from the original spreadsheet come back?
No. A PDF normally contains only the final displayed page, not the spreadsheet formulas that produced it.
Why did one table become many columns?
The PDF may use varying text start positions. Try the one-line-per-cell mode or extract only the table pages you need.
Does the tool convert European decimal commas automatically?
No. It preserves what is visible so you can apply the correct locale intentionally in Excel.
Can scanned bank statements be converted?
They need OCR first, and OCR-derived numbers should be carefully verified against the scan.
Why use one worksheet per page?
It prevents unrelated page layouts and repeated headers from being merged into one inferred table before you have reviewed them.
