Structure-preserving mode: SonoFiles keeps the original page content, searchable text and vector graphics where present, removes page-level interactive actions, and adds PDF/A-2b identification metadata plus an embedded sRGB output intent. The finished PDF is reopened and checked for page count and text preservation before download. Validate independently before regulated or institutional submission.

Prepare a PDF for Long-Term Archival Use

PDF/A is the ISO 19005 family of PDF profiles designed for long-term preservation. It restricts or controls features that can make future rendering dependent on external resources. SonoFiles creates a structure-preserving archival derivative, keeps original searchable text and vector page content where present, adds XMP identification metadata and an embedded sRGB output intent, and removes page-level interactive actions. The workflow is aimed at preserving useful document content while preparing a cleaner archival copy.

Why PDF/A Is Different from Ordinary PDF

A normal PDF can depend on fonts, color definitions, multimedia, encryption or interactive behavior that may not be suitable for preservation. PDF/A profiles impose additional requirements so an archive has more of what it needs inside the file. PDF/A is not the same thing as a backup policy, digital signature, accessibility standard or guarantee that an institution will accept the file.

The SonoFiles Archival Strategy

SonoFiles rebuilds the document into a new archival derivative while preserving original page content rather than rasterizing every page. Searchable text and vector graphics therefore remain available when they exist in the source. Page-level interactive actions are removed, an sRGB ICC profile is embedded as an output intent, and XMP metadata identifies the intended PDF/A profile. The result is reopened to verify page count and searchable-text preservation before download. Because formal conformance includes detailed ISO requirements, regulated workflows should still validate the downloaded file with an independent PDF/A validator before submission.

PDF/A-1, PDF/A-2, PDF/A-3 and PDF/A-4

The PDF/A family has evolved with PDF itself. PDF/A-1 is based on PDF 1.4; PDF/A-2 and PDF/A-3 use PDF 1.7, with PDF/A-3 allowing arbitrary associated files; PDF/A-4 is based on PDF 2.0. Different archives specify different profiles and conformance levels. Do not convert blindly—use the exact profile required by the receiving archive.

Why SonoFiles Preserves Document Structure

Born-digital PDFs often contain searchable text, vector graphics and precise page content that should not be discarded during archival preparation. SonoFiles therefore uses a structure-preserving conversion path instead of flattening every page into an image. Scanned source pages remain image-based because that is how they exist in the original document, while born-digital text and vector content can remain searchable and sharp.

US, UK and European Archival Workflows

Government bodies, universities, legal teams and records managers may specify PDF/A for retention, but requirements vary by institution and jurisdiction. European e-invoicing or records workflows can also require associated data or specific profiles. The tool cannot determine the legal retention rule for your document; check the archive's current specification.

Validation Is Part of Serious Archiving

A file that opens normally is not automatically PDF/A-conformant. Professional preservation workflows validate conformance and keep validation evidence where required. SonoFiles therefore avoids presenting conversion as a substitute for institutional validation. For compliance-sensitive material, run the result through the validator mandated by your organization.

Preserve the Source and Document the Conversion

Keep the original PDF as a source record unless your retention policy explicitly says otherwise. Record when and why a derivative was created, especially for legal, healthcare, financial, academic or public records. Long-term preservation is a process involving storage, integrity checks, metadata and migration—not just a filename ending in .pdf.

Accessibility and PDF/A

Archival conformance and accessibility are separate concerns. SonoFiles preserves searchable text when it exists in the source, but PDF/A-2b does not by itself guarantee tagged reading order or full accessibility. If your organization requires accessible archival PDFs, use a workflow that targets both the required PDF/A profile and applicable accessibility requirements rather than assuming one standard satisfies the other.

What to Verify before an Archival Submission

Before submitting an archival derivative, identify the exact requirement instead of stopping at the phrase “PDF/A.” Ask which part and conformance level is accepted, whether searchable text is mandatory, whether accessibility tagging is required, whether digital signatures must remain valid, and whether embedded source files are expected. A records office may accept PDF/A-2b while another workflow requires a different profile.

  • Confirm that searchable text and vector quality are preserved for born-digital records; SonoFiles verifies text retention when the source contains extractable text.
  • Run an independent validator that understands the required profile and retain its report when your policy calls for evidence of conformance.
  • Open the result in a separate viewer and compare every page count, orientation and visible mark with the source.
  • Confirm that color-critical material remains acceptable after conversion to an sRGB-managed archival representation.
  • Do not discard the source simply because an archival derivative was created.
  • Preservation programs normally depend on controlled storage, fixity checking, metadata, access controls and documented migration decisions over time.

The PDF/A file is one component of that system. For court, government, healthcare, finance, engineering or university records, follow the institution’s retention schedule and technical specification rather than a generic online-tool recommendation.

Archival Decision Checklist

Before creating an archival derivative, identify the receiving requirement first. A useful preservation workflow checks more than the file extension.

  • Confirm the required PDF/A part and conformance level instead of assuming PDF/A-2b is universally accepted.
  • Decide whether searchable text, Unicode mapping, accessibility tags or embedded source files must survive.
  • Check whether digital signatures need to remain valid after conversion.
  • Run a recognized validator and retain the report where your records policy requires evidence.
  • Preserve the source record and record when the derivative was created.

Authoritative PDF/A References

For preservation-sensitive work, use institutional guidance rather than a generic converter description. The US National Archives lists PDF/A among acceptable or preferred formats for specific transfer scenarios, while the Library of Congress describes PDF/A-2 as a constrained form of PDF 1.7 intended for long-term preservation. The UK National Archives’ PRONOM registry also documents PDF/A variants, including PDF/A-4. Requirements still vary by archive, so the receiving institution’s specification takes priority.

PDF to PDF/A FAQ

Is PDF/A the same as ordinary PDF?

No. PDF/A is an ISO-standardized family intended for long-term preservation.

Should I validate the output?

Yes for regulated or institutional archiving. Formal validation is part of a serious PDF/A workflow.

Does PDF/A guarantee legal acceptance?

No. The receiving institution determines its required profile and rules.

Does this guarantee formal PDF/A-2b conformance?

No. The tool prepares a PDF/A-2b-style visual archival derivative with embedded color-profile and identification metadata, but regulated or institutional workflows should validate the output independently against the exact required profile.

Does SonoFiles preserve searchable text?

Yes when the source contains extractable text. The converter preserves original page content and verifies text retention before enabling the download. Scanned pages without a text layer remain image-based unless OCR is performed separately.
